1. Previous events debrief

Quiz Night.

Total incoming monies were £801.35 from ticket sales, bar, raffle & chips. Total expenditure was £377.94 making a total profit of £423.41, which is a huge success. Many thanks to all involved and for Mr Ambrose for being such a great quiz master.

It was agreed to do another Quiz night, date TBC. LA suggested next time have a table price as well as individual prices to entice more full tables and therefore a bigger spend on the bar and food.

The raffle was well received and £1 a strip worked well.

Chips, in particular cheesy chips were very popular and more orders were made on the night. At the next event we would have a printed sheet in the kitchen of all pre orders to make the pass easier for Carrie to serve each table.

The bar proved to be very popular, many were pleased to be able to pay by card as well as cash. Wine wasn’t popular at all; gin and prosecco were very popular as well as the ale.

End of Term Cake Sale and Spring Trail.

Total profit for the cake sale was £107, which is brilliant considering the awful weather and downpour of heavy rain.

Huge thanks to all who helped and thank you to all who donated their lovely bakes.

The spring trail was a huge hit with all the children, and at zero cost. The mini eggs they won at the end were kindly donated by Tesco Diss and Morrisons Wymondham; thank you.

There were enough eggs to ensure siblings could also partake in the trail which was well received

2. Upcoming Events

Whiskey Distillery Tour – 19th May 2023 6.30 – 8.00pm

Chris, chief distiller, is very kindly hosting the evening for The Friends out of hours. Tickets are £15 per person (over 18s only) which includes the tour and a sample of 3 malt whiskeys at the end of the tour.

Places are limited to 20 people however if it is successful another date will be added.

ACTION POINTS 

  • HW to update poster to note over 18s only
  • Posters to be printed and laminated and displayed on school gates (with LA
  • permission)
  • NT to add a button on the friends’ website for payments to be taken for bookings
  • with a max number of 20 available
  • RW to do socials post once the website is up and running.

Bewilderwood 25th May 2023 – School Hours

Annual school trip to be held on this date.

Confirmed volunteers are RW, CH, NT, GW, Sally Craythorne & Jo Basham.

ACTION POINT

  • LA to advise of any additional volunteers are needed.

End of term Celebration & Leavers 2023 BBQ – Thursday 20th July 5pm onwards

Confirmed volunteers are GW, HW, RW, KS, KC, KST, JB & CH. Set up time is from 4pm.

LA is keen for the event to be advertised as a celebration end of year BBQ as well as Leavers BBQ to ensure that parents and pupils are aware it is an all-school event.

The Friends will do balloons, bunting and banners etc as in previous years, LA to do music.

CH also suggested a banner for the BBQ, with a decorated area for the leavers to take photo’s/selfies.

  • Music/Entertainment – KC advised Max will be happy to do the music for the afternoon; thank you Max.
  • Pebbles/Stones for the Leavers to decorate and leave in the new outdoor area – LA advised that he would very much like for this to be done again this year but has requested that the stones be pre bought in white only.
    ACTION POINT 
    • WHITE STONES TO BE PURCHASED AND ADDITIONAL SHARPIES FOR DECORATION
  • Leavers Bags – it was discussed what would be included and it was agreed that the bags will include a leavers personalised autograph book, a sparkly pen (supplied by the school) bubbles, cupcake, sweet and their hoodie.
    ACTION POINT
    • CH to order autograph books, research sweet bags and order leaver stickers.
  • Hoodies – CH has obtained quotes all ranging from £18 - £26. One company also provides a free drawstring bag with their surname and year on the bag, cost £20 per hoodie & bag. It was agreed to proceed with this.

    • CH to send size guide to LA for issue to parents
  • Pricing – It was agreed that the ticket price is £5 per adult. Tickets include a hotdog/burger, 1 drink, crisps and school bake. All school children and school age children will be provided with a hotdog/burger, crisps, school bake and 1 drink at no charge regardless of whether an adult has purchased a ticket.
    ACTION POINT
    • CH to contact butchers to get prices
    • NT to set up ticket system on the website for ticket sales and pre-orders nearer the time.
  • BBQ & Pre-order – it was agreed that we will do a pre-order system again to ensure we know the quantities of what is required. This year, we will have 2 volunteers at the gate checking names and giving out coloured tickets to take to the bar when they want their food. For example, red for hotdog, blue for burger, green for vegetarian/vegan & orange for GF.
    RW recommended that the vegetarian/vegan/gf be cooked separately in a kitchen, and wrapped in foil to keep warm and placed at the edge of the BBQ. This stops contamination and the requirement for an additional camping BBQ. KC volunteered her parents and partner to do the BBQ – thank you Karen.
    As in previous years there will be no alcohol, only soft drinks.
  • Activities – Bungee Run/Inflatable Slide. LA advised that the kids love it and look forward to it however last year it became quite boisterous and there were children on it during the performance and ceremonies. It was agreed that the run/slide would be manned at all times by 2 volunteers and as with the fete allocated timed slots. There will be no one allowed on for during the performances/ceremony.

School Fete – Saturday 8th July 12:30 – 3:30pm

  • Confirmed volunteers are JB, CS, KC, FS, KS, GW, RW, HW, CH & CM. NT advised that Hannah will do first aid – thank you Hannah and CM advised that marc can help on first aid too, thank you Marc. 
    ACTION POINT 
    • Parentmail to be sent asking for parent volunteers.
  • Food – It was agreed to have a BBQ with hotdogs only plus condiments. Vegetarian/GF options also available. The BBQ will be located in the bar area, as well as ice creams to free up stall volunteer numbers.

  • Bar – licenced bar available selling alcohol and so􀅌 drinks plus crisps (and ice creams as detailed above)

  • Music/Entertainment – KC kindly said that Max would be happy to do the music for the event; thank you Karen and Max.
  • Seating – JB & RW to speak with Anne Wood about hay bales. CH to speak previous contact as before.
  • Stalls
    • Cream tea tent – KC has asked to do a cream tea tent, with the option of tea/coffee or Pimm’s cream tea, sweet and savoury options available!
    • Hook a duck/lucky dip/guess the lego
    • Face painting – KS & Marianne – thank you
    • Uniforms – honesty box donations
    • Giant slide – minimum of 2 volunteers, timed slots
    • Tug of war/egg and spoon/splat the rat
    • Raffle
    • Tombola
    • Invite the church gardeners club to have a stall on site
  • It was discussed that KC had the idea of renting car park space for car boot pitches – this was very well received and LA confirmed this would be possible.
  • It was also discussed to rent table space to small local businesses and makers who would like a pitch and we would ask them for a small raffle prize.
  • Cake stall to be discussed further depending on any small businesses wish to have a stall, however we did take £231 at last years fete on cakes alone.

3. AOB

Mid-Summer Revels – Saturday 24th June

RW confirmed this will be on Saturday 24th June from approx. 5pm. Any volunteers that are able to help with the bar and/or BBQ will be greatly received.

Village Coronation Celebration – Sunday 7th May

The coronation village festivities will be held on Sunday 7th May 2023. The school have been invited to take part and as such they will be singing at The Red Lion at 12.30pm. All children are encouraged and welcomed to come and perform as part of the momentous celebration. LA will be there from 12 noon and it would be great to have as many pupils as possible representing the school.
